Research

Emails are an important source of our daily communication.
 

And any company or organization planning to conduct an event or a gathering requires a lot of back-and-forth communication between teams and individuals.

It can be challenging to lead an event when faced with the dilemma of sifting through long and complex messages or trying to keep up with multiple ongoing discussions. When it comes to sharing different types of content, emails are considered the most efficient and impactful medium.

The platform also allows attendees and organizers to communicate, share and react to upcoming events.

Our Process

After completing the initial research phase, we sought feedback from individuals on their perceptions of teaming and coordination of events within our campus. This step served multiple purposes. Firstly, it helped us gather insights into people's preferences regarding features and tools for event planning.

Additionally, it allowed us to identify potential participants for user testing and conduct interviews with individuals who were actively involved in event coordination.

From our observations and intercepts, we found the three main groups of target users who have varying levels of motivation to be involved with any events that occur. These user groups provided us with valuable insights and serve as the foundation for designing a platform that caters to their specific needs.

Design Principles

The insights gained from user research and the identification of target user groups provided a foundation for framing design principles. These design principles guided the iteration of our prototype, leveraging the Yahoo Mail system.

The aim was to enhance the user experience of receiving event-based emails, increase user motivation to respond to these emails and enable users to discover new ways of engaging through the platform. Ultimately, these improvements could contribute to strengthening the communities.

Insights

Multiple platforms are used currently to manage the backend work such as creating posters, assigning tasks, and reaching out to the volunteers and participants. Emails are limited to just sending out information.

People don’t prefer reading lengthy emails and hence miss out on information causing them to miss these events altogether.

Once we discovered the three main phases of an event planning journey, it then led us to two main insights.

Next steps

Moving forward, I plan to address the feedback received to further enhance the user experience and strengthen the connection between research insights and the user interface screens.
 

Given the scope of working with an existing design system and a platform as vast as Yahoo Mail, I acknowledge the initial challenges I faced in fully understanding the connection between the research insights and the existing UI screens.
 

To bridge this gap, my next steps include:
 

  1. In-depth exploration of the design system: I will dedicate time to thoroughly familiarize myself with the existing design system of Yahoo Mail. This will involve studying the design patterns, style guides, and documentation to gain a deeper understanding of the framework and its intended usage.
     

  2. Iterative design iterations: I will approach the design process iteratively, incorporating regular feedback and conducting design reviews to ensure the research insights are effectively reflected in the UI screens. This iterative approach will allow for continuous improvement and refinement of the user experience.
